Our IME Process: Accuracy, Efficiency, and Defensibility
At XcelABLE, we understand that Independent Medical Evaluations (IMEs) are a critical tool in determining medical causation, treatment appropriateness, and disability status. Our IME process is built on clinical integrity, legal defensibility, and exceptional client service—ensuring every evaluation meets the highest standards of accuracy and transparency.
1. Referral & Case Intake
Each IME begins with a thorough referral intake. Our dedicated referral team works closely with the requesting party (employer, insurer, attorney, or TPA) to gather all necessary details, including:
- Nature of the injury or condition
- Specific medical and legal questions
- Relevant documents (medical records, job descriptions, diagnostic reports, etc.)
- Preferred timelines and deadlines
We match the case with a physician whose specialty aligns with the claimant’s condition, ensuring true subject-matter expertise.
2. Physician Selection
With access to over 200 board-certified physicians nationwide—covering specialties including orthopedics, neurology, occupational medicine, pain management, psychiatry, and more—we carefully select a physician who is:
- Experienced in medicolegal evaluations
- Objective and impartial
- Well-versed in state-specific legal and workers’ compensation standards
We also accommodate requests for panel reviews, peer reviews, or second opinions as needed.
3. Medical Record Review
Before the evaluation, the assigned physician conducts a comprehensive review of all submitted records. This includes:
- Past and current treatment notes
- Imaging studies and diagnostic tests
- Prior IME or FCE reports (if applicable)
- Functional job demands or physical capacity requirements
This ensures the evaluation is informed, focused, and aligned with the case’s key medical questions.
4. In-Person Examination
The claimant is scheduled for an in-person physical or psychological evaluation, typically conducted at one of our many clinical partner sites across the U.S. Each IME includes:
- Detailed history-taking and symptom review
- Objective clinical testing (e.g., range of motion, strength, orthopedic or neurological exams)
- Analysis of consistency and credibility of symptoms
- Observation of functional capacity as appropriate
Our providers are trained to maintain neutrality while ensuring a respectful and professional experience for the examinee.
5. Report Development
Following the examination, the physician produces a comprehensive, medically defensible report that addresses the specific referral questions. Typical IME reports include:
- A summary of reviewed records
- Exam findings and observations
- Diagnosis (if applicable)
- Causation analysis (work-related or not)
- Treatment appropriateness and necessity
- Maximum medical improvement (MMI) status
- Permanent impairment rating (if applicable)
- Work restrictions or return-to-work guidance
Every report undergoes a quality assurance review before being finalized to ensure clarity, consistency, and legal defensibility.
6. Delivery & Follow-Up
Final reports are typically delivered within 7–10 business days, with expedited options available upon request. If additional clarification or follow-up is needed (e.g., deposition, addendum, or testimony), our team is ready to assist.
We maintain open communication throughout the process to ensure all parties are aligned and informed.
